Cancellation Policy
=== Social Tennis Booking and Refund Policy - v1.1 - Approved 14 September 2026 === CANCELLING You can cancel your booking any time up to 1 hour before the session, via the confirmation email link to the booking system. This releases the booking for another player to reserve. To change your session time to another date, cancel your existing booking and create a new booking for your preferred session. The same 1-hour cutoff applies. Less than 1 hour before the session, no cancellations or rescheduling are permitted. REFUND ELIGIBILITY Cancelled more than 4 hours before the session: automatically refunded. The Club Treasurer receives an email and processes the refund, typically within two (2) business days (timing can vary depending on bank processing times). Cancelled within 4 hours of the session: not eligible for a refund. Social sessions have limited places, and late cancellations often prevent another player from taking the spot. No-shows: not eligible for a refund. WET WEATHER & VENUE CLOSURES If the club cancels a session before play begins due to weather, court conditions or venue closure, all players receive a full refund. The Social Tennis Coordinator decides whether to cancel. If play is abandoned within the first 30 minutes for weather or unsafe courts, players receive a full refund, authorised by the Coordinator. After 30 minutes, refunds/credits are at the club's discretion, based on play completed and any refund/credit from the venue, and must be approved by the President, Secretary or Treasurer. In light showers where conditions remain suitable and no further rain is expected, attendees may be asked to help squeegee courts to continue play, at the Coordinator's discretion. REFUND PROCESSING Approved refunds return to the original payment method, generally within 2 business days of approval, subject to bank processing times. Exceptional Circumstances: The Treasurer, with the President or Secretary, may approve refunds outside this policy. Queries: Contact the Club Treasurer at treasurer@tbt.org.au
